Capability 03 · Voice

Your phone, answered by an AI that actually sounds like a person.

Calls get missed — nights, weekends, the third simultaneous ring while your office is already on two others. The AI receptionist picks up every time, qualifies the caller, texts them a booking link to lock a slot, and texts your team the moment a real lead lands.

One of the AI systems we build.

Why this matters

A large share of inbound calls to contractors go unanswered — especially nights, weekends, and during the third simultaneous ring. A homeowner calls during a roof job, gets voicemail, and dials the next company on Google before the crew climbs down. After-hours calls — when most insurance-driven storm leads come in — go straight to a mailbox no one checks until morning. The leaks compound: every missed call is one fewer in-home appointment, one fewer signed proposal, one fewer five-figure project.

What the system does

Everything this capability ships with.

Answers every call, 24/7

Built on the most natural-sounding voice technology and the most capable language model available in 2026. Sub-second response latency. Most callers don't realize they're talking to an AI.

Qualifies the caller in real time

Captures name, service type, urgency, address, and ideal contact time. Adapts the questions to the business (storm damage vs. retail roofing vs. solar) so callers don't feel interrogated.

Books appointments

Texts the caller a booking link so they can lock a slot before they hang up. We connect it to read live availability from Google Calendar, Outlook, ServiceTitan, JobNimbus, or whatever you use during onboarding.

Texts you the lead summary

While the call is still happening, you get an SMS or email with the caller's number, the qualification answers, and the booked slot. No transcription delay — you can call them back inside the hour if needed.

Hand-off to a human at any time

If a caller asks to speak to the owner, or if the situation needs a real person, the AI transfers the call to a number you choose. No dead ends.

Logs every call

Full transcript stored, searchable, exportable. Useful for sales coaching, dispute resolution, and refining the AI's responses over time.

What a call actually looks like

It's 7:42 PM. Linda's daughter spots a wet spot on the ceiling and Linda starts dialing local roofers. The first two ring out. Yours picks up on the second ring.

0:01

The AI answers in your brand voice: "Hey, you've reached [Your Company]. I'm the AI receptionist on after-hours — what's going on?"

0:15

Linda explains the leak. The AI asks two qualifying questions: rough location of the leak, and whether water is actively coming through. Triages it as urgent.

0:45

AI offers tomorrow morning at 9:30 AM or 11:00 AM. Linda picks 9:30. AI confirms her address and texts her a booking link to lock the slot.

1:10

Your phone buzzes. SMS: "Linda Pulaski · 612-555-0148 · Active leak, 2nd floor · Booked: tomorrow 9:30 AM · Address attached. Call her back tonight if you can."

1:25

AI closes the call with a friendly recap, mentions that someone will follow up shortly, and hangs up cleanly.

Total handle time: under 90 seconds. Linda gets help, you get a qualified appointment, and the competitor whose voicemail ate the call loses a $10,000 job.

Works with the tools you already run

The receptionist works with your existing phone number (no porting required). During onboarding we connect it to your calendar of choice and your CRM so leads land where your team already works.

What you get with setup

Custom voice trained on your brand — accent, pacing, filler words, the things that make your front-desk person sound like a person
Full qualification script tailored to your service lines (residential roofing, solar, storm response, HVAC, etc.)
Integration with your existing phone number, calendar, and CRM
30 days of post-launch tuning — we listen to real calls, adjust the script, and retune the voice until callers can't tell
Monthly performance dashboard: calls handled, appointments booked, conversion rate, common drop-off points
Up to 2 hours of changes/month included in the retainer (new scripts, new qualifying questions, new branches)

Questions

What contractors ask about this capability.

Will it actually sound like a person?

Yes. The voice technology behind the receptionist is the most natural-sounding on the market, and we tune the cadence, accent, and word choice to your brand. The receptionist on hewstone.io's demo line — (612) 453-1585 — is the exact same system we build for clients. Call it right now and judge for yourself.

What if a caller asks something the AI doesn't know?

The AI is honest about its limits and offers two paths: connect them to a human at a number you choose, or take a detailed message and text it to you. You can update the AI's knowledge any time — pricing changes, new service areas, new warranty terms — and it takes effect inside an hour.

How long does setup take?

Most receptionists go live in 7-10 business days. Day 1-3 is voice training and script development based on your actual sales calls; day 4-7 is integration and testing; day 8-10 is soft launch with you reviewing every booked appointment before the AI publishes it.

What happens if the AI misqualifies a lead?

For the first 30 days, every booked appointment goes through a soft approval queue — you see it before it confirms on your calendar. After 30 days, you pick which workflows to auto-publish. Misqualifications get fed back to the AI to tune its judgment.

Can I take over a call mid-conversation?

Yes. Two ways: (1) the caller asks to speak to a human and the AI transfers, or (2) you set up live-monitoring on your phone and barge in whenever you want. Most owners don't end up using it — the AI is built to handle the large majority of calls without escalation.

What about Spanish-speaking callers?

We can train a bilingual version of the receptionist (English/Spanish) for an additional setup fee. The AI detects the caller's language inside the first few words and switches automatically.

Will this replace my office manager?

No — and it shouldn't. The AI is best at the volume work: nights, weekends, lunch breaks, the third simultaneous call that hits voicemail today. Your office manager keeps doing the relationship work the AI can't. Most clients report their manager spends less time on the phone and more time closing deals and managing the schedule.
